About the team

The CEO Office is a small team responsible for providing executive, administrative and council support for the CEO, Mayor and Councillors. We provide expertise in strategy and local government regulatory frameworks, strive for leadership in good governance and actively collaborate with other teams to achieve the Town’s priorities.

About the role

Responsible for the provision of an efficient and accurate minute’s preparation service for Council and Committees.

The successful candidate will be responsible for:

  • Attendance at Council meetings to provide support and coordination, including minute taking.

  • Coordinating, compiling, and distributing agendas and minutes for meetings of Council and Committees.

  • Coordinating Council meeting information and documentation and ensure it is recorded and distributed, as per the Council Policy and appropriately stored, in line with Council’s Records Policy.

  • Collating the Council Resolutions registers as a reporting mechanism to Council on strategic planning and update progress of resolutions.

  • Updating attendance lists, follow-up action lists, and other Town registers, including but not limited to gifts, delegations, returns and Councillor training.

 The successful candidate will have:  

  • Demonstrated computer literacy and Microsoft Office skills, specifically Outlook, Excel, and Word. (Essential)

  • Previous Local Government experience, or experience in a similar position.

  • Demonstrated experience in organising and attending meetings and preparing agendas and minutes. (Desirable)

  • Knowledge of standards, policies and the Local Government Act 1995, in relation to the function of this position. (Desirable)

Salary and Benefits

This Permanent part-time role attracts a salary of between $85,000 to $90,000 pro rata plus superannuation.

The Town also offers up to 4% additional superannuation (conditions apply), free parking, ongoing training and professional development, and up to two additional leave days per calendar year.

Working Hours

The position is a part time role that requires a person to be flexible with their working hours as both day and/or evening work will be required. The successful applicant will be required to attend both Council and Committee meetings.

Other minute taking duties at other Committees are likely to be required. This year’s timetable of the meetings is available with the position description.
